Job Title: Front Office Manager
Job Duties: Customer Service Orientation Meets and welcomes regular and VIP guests in accordance with the hotel’s Guest Recognition Program. Together with Sales & Marketing Department, maintains a close relationship with travel agencies, local business groups and airlines. Entertains frequent and potential customers. Ensures all employees provide a courteous and professional service at all times. Productivity Ensures new technology are equipment are embraced, improving productivity whilst taking work out of system. Focuses attention on improving productivity levels and the need to prudently manage utility and payroll costs within acceptable guidelines, ensuring optimum deployment and energy efficiency of all equipment and resources. Reviews and approves all invoices and purchase request involving Rooms equipment and supplies. Plans and implements effective up-selling activities to ensure maximum room revenue through effective rate management. Communication & Interpersonal Relations Conducts monthly Front Office Meetings, ensuring all meetings are well planned, efficient and results oriented. Maintains positive guest and colleague interaction with good working relationships. Assists the Sales & Marketing team in the aspects of controlling heavy dates, resolving conflicts in booking, changing dates and facilities for all group, convention and banquet business. Communicates effectively on guiding principles and core values to all levels of employees. Attends the meeting and briefings laid down by the General Manager and other departments of the hotel. Liaises closely with all Heads of Department with regard to servicing and handling of incoming groups, VIP and F.I.T. guests.

Qualification Requirements: Education/Experience: Preferably a college graduate with a Bachelor degree in Hospitality or Tourism Management; a minimum of two years work experience as Front Office Supervisor in a hotel of significant volume. Ability to read, analyze and interpret journals, financial reports and legal documents. Ability to respond to common inquires or complaints from internal customers/employees, or members of the local community. Ability to write letters, memorandums or conceptualizing hotel’s objectives. Ability to effectively present information to top management and employees, in groups or individually. Ability to speak, write and read in the English language fluently. Fluency in Japanese is advantageous. Math: Ability to calculate figures and amounts such as discounts, commissions, proportions, percentages, area, circumstances, and volume, and analyze such information. Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Supervisory/Management Skills: Comprehensive knowledge of business management, financial reporting and productivity requirements; Proficient in Microsoft Office program and Fidelio System software; excellent communication & analytical skills, a proactive problem solver; team player who values teamwork, has good team building skills and is able to communicate effectively with all levels of employees.
