Job Title: | Administration Assistant |
Job Duties: | Performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and assisting visitors, word processing, creating spreadsheets and presentations, filing, and faxing. Extensive software skills are required, as well as Internet research abilities and strong communication skills. Assisting with all aspects of administrative management, human resources, directory maintenance, logistics, equipment inventory and storage. Managing inventory of assets and supplies, monitoring critical level of stocks, sourcing for suppliers and submitting invoice(s). Coordinating between departments and operating units in resolving day-to-day administrative and operational problems. Scheduling and coordinating meetings, interviews, events and other similar activities Sending out and receiving mail and packages; document handling. Preparing business correspondence (often using word processing, spreadsheet, and presentation computer software). Sending faxes. Managing files. Research and the identification of key data sources. Performing multifaceted general office support. Preparing meeting minutes, meeting notes and internal support materials. Sending and receiving forms for the company. Assisting in all day-to-day operation matters. Other related duties. |

Qualification Requirements: | Good customer service, communication, and interpersonal skills. Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology. Must have excellent computer skills, using Word, Excel and Powerpoint. Fluency in speaking, reading, and writing in English and Mandarin. Knowledge of accounting principles and practices. Minimum 2 years experience in English/Mandarin translation preferred. Minimum 2 years experience in overall job duties and document handling. |
