Job Title: Executive Assistant
Job Duties: Performs administrative activities for multiple supervisors, managing their daily work schedules, assignments, meetings, and internal and external relations. Duties may include initiating and fielding telephone calls, receiving and assisting visitors, creating business correspondence using word processing, spreadsheet and presentation software, translating documents from Chinese into English and vice versa, as well as managing documents and file systems. Extensive software skills are required, as well as Internet research abilities and strong communication skills. Assisting with all aspects of administrative management, human resources, directory maintenance, logistics, equipment inventory and storage, such as managing inventory of assets and supplies, monitoring critical level of stocks, sourcing for suppliers and submitting invoice(s). Coordinating between departments and operating units in resolving day-to-day administrative and operational problems. Scheduling and coordinating meetings, interviews, events and other similar activities. Sending out and receiving mail and packages. Research and the identification of key data sources. Preparing meeting minutes, meeting notes and internal support materials. Managing or assisting in any other day-to-day operational matters.

Qualification Requirements: Any combination equivalent to an Associate Degree and a minimum of 2 years work experience. Good customer service, communication, and interpersonal skills. Ability to maintain highly confidential nature of work and possesses highest degree of integrity and trustworthiness. Knowledge of administrative and clerical procedures and systems such as word processing, file and record management and related computer skills (e.g. Word, Excel and Powerpoint), and other office procedures and terminology. Knowledge of accounting principles and practices. Fluency in speaking, reading, and writing in English and Mandarin. Minimum 1 year of experience in English/Mandarin translation preferred.
