Job Title: Duty Manager - VIP Front Office
Job Duties: • Ensure that on-going relevant logbook communication to other shifts is maintained • Handle VIP guests from all over the world, mainly from Asia regions (China, Japan & Korea, etc.) • Assist in guests’ arrival/ departure • Ensure the cleanliness of lobby and public areas, lights as well as front office staff is in proper and orderly appearance and behavior • Check on registration cards of arriving guests and ensure all information should be filled • Supervise and check the data upload and update of in-house guest files • Conduct and check the preparation of all necessary materials FIT’s and groups before their arrival • Give the instructions to Front Office staff for handling in high occupancy periods, walk-in guests and release room block because of no-shows • Assist in handling room lock problems • Prepare and check for VIP’s arrival and escort guests to rooms • Co-ordinate with all departments concerned in order to maintain Front Office functions properly • Handle guest complaints and other related problems and report on log book • Answer guest inquiries, handle complaints and attend to the needs of the guests • Supervise the handover of Front Desk cash float • Authorize charges to be made for late departures and/or compliments on them • Promote and maintain good public relations • Motivate and maintain good staff relations • Maintain and be guided of hotel policy on credit/lost and found hotel guests’ properties • Assign and approve duty roster for Front Desk staff • Function in place of the Assistant Manager – Front Office in his/her absence • Assist in developing training plans and work closely with departmental trainer • Adhere to all Company policies and procedure • Report accidents, injuries, unsafe work conditions and/or security issues to supervisors • Perform other related duties as assigned

Qualification Requirements: • At least 3 years’ working experience in Front Office operations in a 5 star hotel / well-known property • Bachelor’s Degree Holder or equivalent working experience • Good leadership skills, communication skills and staff motivation • Responsible self-starter, capable of handling multi-faced projects and of working under pressure • Understanding of Hotel Property Management System (preferably Opera) • Proficiency in MS Office: Outlook, Word, Excel and PowerPoint • Able to work on flexible shifts including overnights, weekends and holidays on rotation basis • Fluent in English • Ability to communicate in Asian languages (either Chinese, Korean or Japanese) • Ability to multi-task
