Job Duties: 1. SUMARRY Under the direct supervision of the Manager, Ship Agency - CNMI the Administrative Assistant provides corporate office administrative and clerical assistance by performing the following duties. 2. ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following. Other duties may be assigned: 2.1 Maintains excellent communications with ship Principals, Deck and Engineering officers. Ensures customer requests and requirements are met in a timely and cost-effective manner. 2.2 Arrange hotel bookings and reservations for vessel crew, Ambyth personnel and customers as necessary. 2.3 Coordinate with medical or dental facility, request by the vessel for medical, dental or emergency assistance. 2.4 Prepare and distribute daily and weekly vessel logs. 2.5 Operates a multi-line telephone; Takes messages, gives information to callers; Screens and routes calls to appropriate destination. 2.6 Greets the public, staff and others in a professional, courteous manner; Ascertains nature of business and directs visitors or callers to appropriate department or person. 2.7 Handle, sort and distributes incoming and outgoing company and vessel mails and packages. 2.8 Arranges all travel requests with respective travel companies, airlines and Schedules appointments. 2.9 Communicates with Master and Principals to ensure all travel arrangements are in order. 2.10 Arrange and schedule transport for various types of transportation needs required. 2.11 Maintains various logs, spreadsheets and manuals. 2.12 Routes all incoming and outgoing faxes messages to respective persons or divisions. 2.13 Procures supplies, office cleaning supplies and materials, parts as needed. In accordance with purchasing procedures. 2.14 Operates office equipment including PC, adding machine, copy machine, printer and other machines. 2.15 Maintain office files and records in accordance with internal procedures. Responsible for the maintenance of the Agency department central filing system. 2.16 Perform a variety of general office support functions including typing, record keeping, proofreading, and forms and report generation. 2.17 Perform special projects, studies and collect and compile statistical and financial data for special reports, as directed. 2.18 Perform a full range of customer service duties related to area of assignment; provide information to customers/principals requiring the use of judgment and the interpretation of policies, rules, and procedures. 2.19 Interprets and communicates operating policies. 2.20 Assists management and division supervisors with research, written responses to inquiries concerning company business activities and related operational matters. 2.21 Monitor Process Key Performance Indicators of Agency division. 2.22 Assist with external provider evaluation. Maintain and update the Approved External Provider List File. Performs other related duties.

Qualification Requirements: High School graduate required with two-years related experience. Associates Degree Preferred. THREE (1-3) YEARS PROFESSIONAL EXPERIENCE IN A PROFESSIONAL OFFICE ENVIRONMENT. Language Skills a) Ability to read and comprehend simple instructions, short correspondence and memos. b) Ability to write routine reports and correspondence. c) Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization. d) Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Mathematical Skills a) Ability to add, subtracts, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. b) Ability to perform these operations using units of American money and weight measurement, volume and distance. Reasoning Ability a) Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. b) Ability to deal with problems involving several concrete variables in standardized situations. Other a) Must be able to operate a PC, MS Excel, MS Word, MS Windows, MS power point. b) Operate a multi-line telephone, telex, fax and other office equipment. c) Correct English usage, spelling, grammar and punctuation. d) Knowledge of common office practices and procedures; typing speed of not less than 30WPM from clear copy. e) Understanding and carrying out verbal and written instructions. f) Maintaining working relations with staff and public. g) Recognizing and maintaining strict confidentiality of work material. h) Working independently in the absence of supervision. i) Ability to interact effectively with a wide range of people. j) Ability and willingness to work any shift (including overtime) during a 24 hour period on weekends and holidays. 1 YEAR EXPERIENCE IN ACCOUNTING FUNCTIONS PREFERRED. HIGH DEGREE OF PROFICIENCY IN OFFICE PROCEDURES. EXCELLENT COMMUNICATION SKILLS BOTH ORAL AND WRITTEN. ABILITY TO WORK WITH CROSS-FUNCTIONAL TEAMS AND GOOD TEAM PLAYER. EXCELLENT COMPUTER SKILLS. STRONG INTERPERSONAL, COORDINATION AND COMMUNICATION SKILLS.
