Job Title: Executive Office Manager
Job Duties: Job brief Reporting directly to the President and CEO. Executive Office Manager are business professionals who are responsible for a diverse set of administrative tasks. Executive Office Manager essentially ensure the smooth running of an office on a day-to-day basis and may manage a team of administrative or support staff. Assists the President/CEO with daily executive and administrative duties and tasks that include: 1. Arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings. 2. Accompanying the President/CEO to China (Hong Kong/Beijing/Shanghai) to report to the Board of Directors. 3. Assisting the Board of Directors and the Senior Management in bilingual communications and translation (English and Mandarin). 4. Communicating and coordinating internally and externally on the President/CEO’s behalf about the company’s strategic decision. 5. Preparing letters, presentations and reports for the company Ensures daily operations of the office that include: 1. Office budget management * Approval of monthly office supplies application * Approval of office equipment and furniture purchase application and quotation review * Approval of on-demand purchase of office equipment and furniture and daily supplies (cleaning supplies, hygiene products, drinking water, etc.) 2. System maintenance, equipment maintenance* • Office software system maintenance, office equipment maintenance, etc. 3. Office staff management * Supervising and managing the work of administrative staff * Assigning tasks to junior employees 4. Conference organization and file management 5. Handling administrative affairs * Management dealing with correspondence, complaints and queries * Company vehicle management 6. Close communication between departments 7. Office cleaning management HR Support: 1. Organizes induction training programs for new employees 2. Supports HR operational functions Assists the company to build external corporate image by: 1. Assisting the PR department in organizing activities for the company 2. Assisting in building corporate environmental image, product image, leadership and employee image
Qualification Requirements: Requirement •Bachelor degree in administrative management •In-depth understanding of office management and daily operations •Strong communication and Presentation skill are required •Excellent time management skills and ability to multitask and prioritize work •Attention to detail and problem-solving skills •Strong organizational and planning skills in a fast-paced environment •A creative mind with an ability to suggest improvements •More than 3-5 years’ work experiences in the same JD / Responsibility describe above •Mandarin speaking, writing, and reading fluency preferred
