Job Title: Marine Coordinator
Job Duties: SUMMARY Under the direct supervision of the Manager, Ship Agency and Marine Services or designee, the Marine Coordinator provides participates in the provision and services relating to the husbanding of any vessel calling at Saipan and office administrative and clerical assistance by performing the following duties ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. •• Maintains excellent communications with ship Principals, Deck and Engineering officers. Ensures customer requests and requirements are met in a timely and cost-effective manner. • Operates a multi-line telephone; Takes messages, gives information to callers; Screens and routes calls to appropriate destination; Handles incoming and outgoing company/vessel mail. • Greets the public, staff and others in a professional, courteous manner; Ascertains nature of business and directs visitors or callers to appropriate department or person. • Communicates with Master and Principals to ensure all travel arrangements are in order; arranges transport for various types of transportation needs required. • Conducts research of services as deemed necessary; adds and checks columns of figures; prepares and transmits courier packages. • Maintains various logs, spreadsheets and manuals. • Procures supplies as needed. • Assists with special events planning. • Operates personal computer to access e-mail, electronic calendars, and other basic office support software. • Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports. • Obtains vessel information to facilitate port entry • Promptly acknowledges and replies to communications with vessel/ operator/ owner/charterer • Prepares Notice of Vessel Arrival and distributes to USCG/Harbor • Master/Immigrations/Customs/Tug Company/Pilot/Port Authorities at least • 24 hours prior to vessel's arrival at pilot station. • Arranges clearance of port formalities/pratique with necessary Federal and local agencies; • Arranges disposal of dry/wet foreign waste; • Arranges medical/dental as requested; liaise with classification surveyors as necessary; • Coordinates receipt/delivery of project cargo with Shipper/Consignee; Prepares vessel arrival/departure info for prompt transmission to vessel Operator/Charterer; • Coordinates with chandlers and vendors; delivers mail promptly to vessel • Obtains port clearance and submits to vessel in a timely manner; prepares reports.

Qualification Requirements: POSITION MINIMUM QUALIFICATIONS: • High school Graduate • Must possess a valid A/B driver’s license • Strong oral and written communication skills • Proficient in MS Word/Excel and PowerPoint • 1 year experience in Travel, transportation and hotel arrangements. • 1 year customer service experience in marine services industry.
