Job Duties: • Participates in Program Review and Outcomes Assessment (PROA) activities. • Provides high-quality student and internal and external customer service. • Assist the Director by coordinating office services with other sectors of the College; • Types miscellaneous correspondence, forms, reports, and other documents as required and requested; • Makes copies of correspondence and other printed matter and assembles for distribution of processing; maintain office files; • Confers with the Director and department personnel on appointments, meetings, special events, and other scheduled activities and provides necessary assistance; • Receives visitors, coordinates the appointment calendar, and communicates with NMC employees and the general public regarding the scheduling of meetings and appointments; • Operates computers using a variety of software packages (including MS Word, and Excel) for word processing, record keeping, and tracking of information; • Audits and edits all purchase orders, check requests, and other financial documents for the division; records and tracks all departments’ expenditures against department budgets and advises departmental support staff in the event of deficit; serves as liaison between departments and Budget Office; • Gathers documentation for, formats, and processes travel authorizations for the Director and department personnel; when travel is completed, calculates, finalizes, and submits travel documents for reimbursement; • Coordinates preparation and submission of all personnel documents for division’s personnel; • Helps coordinate, train, and supervise work study students assigned to the division; • Supervises purchase and storage of office supplies and other budgeted materials for the Director; • Participates in available staff professional development activities; • Participates in divisional and/or institutional committee work and other college-wide activities; • Shows commitment to work in an environment committed to Total Quality Improvement (TQI); • Maintains a good working relationship with division personnel and other College employees; • Adheres to College policies and procedures; • Performs other duties as requested.

Qualification Requirements: Graduation from a U.S.-accredited institution with a Bachelor’s degree plus two (2) years of secretarial/office management experience. Associate’s degree plus six (2) years of secretarial/office management experience may be considered. Must be computer literate and have a working knowledge of Microsoft Office. Must have good interpersonal communication skills. Equivalent combination of education and experience may be considered. O-Net: Title Job Zone Four: Considerable Preparation Needed Overall Experience A minimum of two to four years of work-related skill, knowledge, or experience is needed for these occupations. For example, an accountant must complete four years of college and work for several years in accounting to be considered qualified.
