Job Duties: | 1. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. 2. Open, sorts, and distribute incoming correspondence, including faxes and emails. 3. File and retrieve corporate documents, reports, and records. 4. Greet visitors and determine whether they should be given access to specific individuals. 5. Prepare responses to correspondence containing routine inquiries. 6. Prepare invoices, reports, memos, letter, financial statements and other documents using word processor, spreadsheet, database or presentation software. 7.Perform general office duties such as ordering supplies, maintaining record management systems, and performing basic bookkeeping work. 8. Prepare agendas and make arrangements for meeting 9. Assist management with reviews, coordination, and preparations of proposals and statement of qualifications. 10. Recommend methods for improving utilizations of personnel, material, and utilities. 11. Confer with vendors, staff, and management personnel regarding purchases, procedures, product specifications, manufacturing/construction capabilities and project status. 12. Review construction schedules, engineering specifications, change orders, and related information to obtain knowledge of procedures, and activities. 13. Communicate with management and staff to develop company's standard operating procedure. 14. Apply statistical methods and perform mathematical calculations to prepare cost analysis and determine man power requirements. |
