| Job Duties: | Ensures primary phone coverage (first to answer all incoming calls). First to greet and address clients at the reception area of the office and direct them to appropriate attorney or caseworker. Prepare and mail all US/UPS/Fed Ex packages or correspondences. Sort and distribute incoming mail, faxes and correspondences. Assists Office Manager to oversee all aspects of administrative equipment including inventory and maintenance of inventory. Assist Office Manager in the processing administrative documents or correspondence related to office operations. Assists to ensure filing of materials in general files area. Assist with bookkeeping/accounting functions as appropriate or tasked by Office Manager. Assist staff in creating a system for responding to telephone and written correspondences in dealing with clients. Assist Office Manager in developing and instituting methods for quality control and accuracy in office functions, client customer service and integrity of inventory and databases. Assist and remain familiar with functions of Office Manager so as to enable him/her to assume the duties of the Office Manager in his/her absence. May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required. Perform other duties as assigned. |
