Job Title: Administrative Assistant (Engineering)
Job Duties: • Prepares and issues payroll on a bi-weekly basis. Maintains and updates employee payroll records .Prepares the payables schedule, collect/follow-up invoices from the vendor, and prepares the check payables. Prepares the receivables schedule, prepare the project’s invoice, follow-up receivables from the client and prepares the deposit slip. Maintain and monitor the equipment inventories. Maintain and monitor the company’s credit card charges. Monitor company’s purchases. Assist engineering staff with reviews and analysis of contractor payment request. Work with the engineering section in preparing company responses to Request for Proposals (RFPs), Statements of Qualification (SOQ), and other business proposals. Assist principal and project managers with the preparation of project schedule, balance staff resources to project manpower demands, and monitor actual hours budgeted to projects and analyze project cost performance. Works with the engineering section in the preparation and review of project specifications. Works with management in preparing consistent and fair personnel policies that comply with all federal and local regulations. Works with management to maintain a continuing education and training for the engineering staff in providing high quality services to the client. Works with the management in personnel hiring and preparation of labor documents. Works with the management in providing supervision and guidance to all personnel. Works with the management in providing high quality services and maintaining within project budget. Works with the information technician in implementing computer upgrades. Assists in preparation of the Annual Audits and Corporate Tax Return. Prepare the Financial Statements and Balance Sheets. Negotiates and maintain an update corporate insurance policies such as: Professional Liability Insurance, Comprehensive Business Liability Insurance, Vehicle Insurance, Workmen Compensation, Umbrella Liability Insurance, Group Life Insurance, Medical and Dental Insurance. Prepares Gross Revenue Tax, Employee Withholding Tax, and FICA. Secure, updates and monitors the company licenses and permit such as: professional license, business license, vehicle registrations, COA, annual corporation report, software licenses. Performs other duties and responsibilities in ensuring the staff efficiency at a reduce cost. Works with IT in maintaining and updating of company's software licenses and computer programs. Works with the company’s legal counsel in ensuring that both the company and employee adheres to federal and local laws and regulations.

Qualification Requirements: • Familiarity with MS Office tools: Microsoft Word, Excel, Microsoft Project, Powerpoint, Adobe Acrobat, Bluebeam Extreme; Accounting software such as QuickBooks; Engineering software such as: Prolog Manager and Converge – a Project and Construction Management ; SpecsIntact – an automated system being used worldwide by NASA and Department of Defense for preparing standardized facility construction specifications. • Excellent communication skills including report writing • 6 years or more related experience in management and engineering field required.
