Job Title: Marine Coordinator
Job Duties: • Prepares notices of vessel arrivals to U.S. Coast Guard, Harbor Master, U.S. Immigration, Customs, Tug Companies, and Port Authorities at least 24 hours prior to vessel’s arrival at pilot station and makes necessary arrangements for crewmembers needing INS assistance. • Prepares vessel arrival and departure documents for prompt transmission to vessels operators/chartered. • Obtains vessel information to facilitate port entry and prepares documentation for vessel and crew member clearances and other various passengers. • Transport crewmembers and visitors to various destinations and assist with loading/unloading of baggage and other cargo items. • Pick up crewmembers, passengers and personnel at schedule time and location within a 24 hour period. • Must be able to assist and arrange travel arrangements, appointments, hotel check-ins and airport check-ins for all personnel, crewmembers and passengers. • Deliver/pick-up mail to and from U.S. Post office and vessels; make bank deposits for the accounting department. • Make necessary arrangements for crewmembers needing medical attention, including daily hospital visits if crewmember is hospitalized. • Arranges clearances for vessels with necessary Federal/Local agencies coordinating pre-ops meeting with stevedores/terminals. • Arrange communications with vessels/operators/owners/charted for replenishment of supplies and other items requested by Master/Mate. • Distributes load list and shipping documents to necessary port terminal and stevedores; Coordinates Tank Vessel Examinations with the U.S. Coast Guard. • Prepares stowage plan for final approval by vessel’s Master/Mate; Coordinates and arranges discharging and loading operations and equipment with stevedore/terminals. • Arranges for delivery and analysis of slop samples, discharge/disposal of slops and oily waste(wet/dry). • Coordinates receipt/delivery of cargo with Shipper/Consignee, including coordinating with chandlers/vendors; Prepares vessel arrival/departure information for prompt transmission to vessel operators/chartered. • Prepares reports, conducts research and prepares departure crew and passenger manifest when required and may submit documents to USCIS/CBP.

Qualification Requirements: High school graduate • Must possess a valid Class A & B driver’s license • Proficient in MS Word and Excel • Strong oral and written communication skills • Excellent customer service skills • 1 year experience in travel, transportation and hotel arrangements • 1 year customer service experience in marine services industry preferred
