| Job Duties: | To provide daily direction and supervision to the Executive Assistant. To provide overall assistance and support to the Executive Director in the areas involved with the planning, coordination, and implementation of all agency activities including Board and Committee meetings. To prepare the Executive Division’s budget and effectively manage the same on an annual basis. To prepare in depth written reports on all areas of operations and recommendations therein that will be useful in analysis and evaluation. To prepare the annual performance evaluations for non-union personnel directly supervised. To establish and maintain effective working relations with directors and administrators of other public entities and ensure their understanding and implementation of agency policies and procedures. To attend conferences and meetings to relieve the Executive Director of schedule restraints and make reports thereon. To assume the responsibility for the overall administration of the agency in the absence of the Executive Director. To prepare and submit complete, timely and accurate weekly and monthly reports. To do related work as required. |

| Qualification Requirements: | Education: Graduation with a Bachelor’s degree from an accredited college. Graduate courses for an advance degree in an applicable area is preferred. Work Experience: Three (3) to five (5) years project coordinator or administrative experience. Knowledge, Skills and Abilities: Excellent written, verbal and interpersonal and Communication skills to interact with internal and external contacts, including senior leadership, on behalf of the department executives and department. Requires the ability to read, write, and speak the English language. Ability to identify and resolve problems in a timely manner; develops alternative solutions and uses reason even when dealing with emotional topics. Ability to maintain a high level of professionalism; treats others with respect and consideration regardless of their status or position. Knowledge of and ability to appropriately interpret and follow policies and procedures. Knowledge of and ability to adhere to safety and security procedures; reports potentially unsafe conditions; uses equipment and materials properly. Ability to present and express ideas and information clearly and concisely in a manner appropriate to audience, whether oral or written. Ability to meet the demands of the work schedule, to be at work and on time. May occasionally require the ability to work outside of regularly scheduled hours. Schedules may vary based on business need Must be able to work independently or with a team. Proficient computer skills including e-mail, word processing (Microsoft Word), spreadsheet (Microsoft Excel), database, PowerPoint, presentation and organizational/project planning software applications and Interaction. Thorough knowledge of the principles and practices of public administration and the ability to apply such knowledge in relieving the Executive Director of administrative details in connection with planning, coordinating the agency’s functions and program. Ability to make complex fact finding studies and prepare analyses and reports thereon involving functions, operations, programs and policies, matters requiring decisions and/or course of action in carrying out the agency’s functions and programs. Ability to assist and advise in broad areas of agency policy development, implementation and coordination. Ability to prepare agendas for various meetings and/or conferences when directed. Ability to review correspondence and to supervise the operational aspects of the office involving both routine and high level administrative matters; and related capacities and abilities. Innovative, consider risks, creative, problem solver, initiates accountabilities, responsible. Ability to execute a startup business/company. Ability to work flexible hours including after hours, weekends and public holidays to attend meetings and deliver events. Ability to work in a fast-paced environment with fluctuating priorities and deadlines. Ability to adjust to changing priorities.
