| Job Duties: | Completes a broad variety of administrative tasks for the Managing Director (MD)/President including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the MD's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the MD's time and office. Provides a bridge for smooth communication between the MD’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the MD to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the MD updated. Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, preparing reports, power point presentations and other tasks that facilitate the MD's ability to effectively lead the company. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Maintains database for the MD. Perform translation services for the MD as needed. |

| Qualification Requirements: | Bachelor's in Human Resource Management or equivalent and at least 1 year experience in the business planning or related field. Knowledge, Skills and Abilities: Knowledge of operating standard office equipment is a must. Must be organized and have a proven ability to plan,prioritize and work under pressure. Strong organizational and time management skills. Must be able to work outside of regularly scheduled hours (schedules may vary based on Managing Director/President and clients' needs). Demonstrates initiative and problem-solving skills. Exceptional research and customer service orientation skills. Language Skills: Must have good interpersonal and communication skills. Must be able to read, analyze, and interpret documents, such as policy procedure manuals, and other related documents in English and Chinese. Must be able to communicate effectively in English and Chinese (Written/Spoken). |
