| Job Duties: | • Design and implement office policies • Establish standards and procedures • Organize office operations and procedures • Control correspondences • Review and approve supply requisitions • Liaise with other agencies, organizations and groups • Maintain office equipment • Assign and monitor clerical and secretarial functions • Orient and train employees • Provide on the job and other training opportunities • Supervise staff, Evaluate staff performance, Coaching and disciplining staff • Design filing systems • Ensure filing systems are maintained and up to date • Define procedures for record retention • Ensure protection and security of files and records • Ensure effective transfer of files and records • Transfer and dispose records according to retention schedules and policies • Plan and implement office systems, layout, and equipment procurement • Maintain and replenish inventory • Directing staff to include receptionists, administrative assistants, interns, maintenance, grounds, and custodial workers. • Maintain vehicles and coordinate maintenance and insurance. • Establish new entities and maintain company files. • File annual reports for all entities. • Review solicitation letters. • Monitor maintenance of office building and exterior site. • Renew business licenses every year. • Plan company events. • Dissolve entities when requested by management. • Other related duties. |
