Job Title: Assistant Manager, Hospitality & Affairs
Job Duties: • Administer all documentations from department and report to Department Head/Management directly • Perform secretarial duties for Department, including preparing correspondence, screening telephone calls, and organizing appointments • Schedule meetings and prepare meeting materials and minutes • Coordinate incoming and outgoing mail • Assist with all aspects of administrative management, human resources, directory maintenance, logistics, equipment inventory and storage • Manage inventory of assets and supplies, monitoring critical level of stocks, sourcing for suppliers and submitting invoice • Administer all accounting and financial issues and papers from the department and report to Department Head/Management directly • Prepare and direct the preparation of accounting/financial reports and analyses • Manage multiple projects simultaneously, prioritize work and follow through on issues in a timely manner • Review and make recommendations to improve current business processes • Ensure compliance of accounting policies and procedures, internal control, tax and statutory requirements • Responsible for challenging integrity of audit detail and product to ensure compliance, accuracy and effectiveness • Reconcile financial discrepancies by collecting and analyzing account information. Securing financial information by completing data base backups. • Maintain financial security by following internal controls. Prepare payments by verifying documentation, and requesting disbursements. • Answer accounting procedure questions by researching and interpreting accounting policy and regulations. • Comply with federal, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions. • Prepare special financial reports by collecting, analyzing, and summarizing account information and trends. • Maintain customer confidence and protects operations by keeping financial information confidential. • Encourage good relationships, promote team spirit, and ensure effective two-way and multicultural communications • Liaise with outsider/vendors for business related purpose if with department head/management’s instruction • Coordinate between departments and operating units in resolving day-to-day administrative and operational problems • Receive and greet visitors courteously • Manage files, reports, letters, memos and other relevant business documents • Keep the office clean and tidy and perform multifaceted general office support • Assist in all day-to-day operation matters • Remain well-mannered and well-groomed as per Department and Company standards • Adhere to all Company policies and procedure • Perform other related duties as assigned

Qualification Requirements: • Administration/secretarial or hospitality related experience is highly preferred • Bachelor’s Degree or above in Finance or Accounting • 8 years or above experience in Accounting/Finance/Auditing • Possessing of a CPA or ACCA license is compulsory • Excellent communication, interpersonal and problem solving skills • Excellent calendar management experience including complex executive meetings; travel arrangement experience • Analytical, self-motivated and able to work independently • Team player who responds quickly to demands and thrives in a high pressure work environment • Fluent in English; knowledge in Chinese is an advantage • Proficiency in Microsoft office and other office administration related software • Excellent time management skills and ability to multi-task and prioritize works •Ability to multi-task.
