Job Title: Administrative Assistant
Job Duties: • Provide full secretarial and administrative support activities, including the handling, preparation and writing of correspondence. • Organize appointments and meetings. • Support Assistant Vice President to communicate with those departments for operations need. • Coordinate incoming and outgoing mail. • Compile data and produce hotel regular scheduled reports. • Maintain attendance records for team members in the department. • Answer incoming telephone calls from different countries, determine purpose of calls, and forward calls to appropriate personnel or department, ensuring professional telephone etiquette. • Welcome visitors, determine nature of business, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor. • Prepare correspondence, reports, minutes, agendas, memos, forms, directories, and other documents and communications from computer systems, drafts, recordings, or verbal instructions as requested in both Chinese & English. • Establish and maintain an effective filing and retrieval system. • Maintain and operate office machines, equipment, and computers. • Photocopy, collate, distribute, and file documents. • Transmit outgoing faxes, and retrieve, log, and distribute incoming faxes. • Maintain inventory of supplies. • Organize business travel arrangements and other duties as assigned. • Adhere to all Company policies and procedure • Perform other related duties as assigned.

Qualification Requirements: • At least High school graduate or equivalent • Experience in Hospitality/ Hotel Operations/Well-known property is an advantage • Administrative or secretarial working experience • Ability to translate documents from Chinese to English or vice versa preferred. • Ability to communicate in both English and Chinese is an advantage; knowledge of Cantonese is an advantage • Self-motivated, organized, confident, friendly and polite. • Proficiency in MS Office: Outlook, Word, Excel, PowerPoint, Visio or other job related software • Self-motivated, well-organized and willing to learn good interpersonal and communication skills. • Team player who responds quickly to demands and thrives in a high pressure work environment. • Must be able to multi-task
