Job Title: Project Specialist
Job Duties: • Evaluate all projects, ensure compliance to all budgets for contract services, coordinate with project manager to review all projects and maintain estimates, track all invoices, and work orders. • Assumes responsibility for working with project team members and maintaining complete and accurate records for multiple jobs - working with multiple project managers, engineers and accountants. • Assumes responsibility for assisting project accountants in following up with subcontractor and material supplier compliance issues and asking for help when needed. • Assumes responsibility for establishing and maintaining effective communication and coordination with Company personnel, including Management. • Provide professional secretarial & administrative services or any other job related duties. • Support the project relating to F&B, Construction, Facility and Hotel to communicate with those departments for operations need. • Update all non-operated agreements’ exhibits when received from the operator, ensuring information contained in the exhibit revisions is correct • Draft meeting minutes and agenda in both Chinese & English. • Support documents and memo preparation in both Chinese & English. • Schedule meetings and prepare meeting materials and minutes. • Coordinate incoming and outgoing mail. • Assist with all aspects of administrative management, human resources, directory maintenance, logistics, equipment inventory and storage with or through related departments of the Company • Manage inventory of assets and supplies, monitor critical level of stocks, source for suppliers and submit invoice. • Coordinate between departments and operating units in resolving day-to-day administrative and operational problems. • Greet and welcome visitors courteously and professionally. • Manage files, reports, letters, memos and other relevant business documents. • Keep the office clean and tidy. • Perform multifaceted general office supports. • Assist in all day-to-day operation matters. • Remain well-mannered and well-groomed as per Department and Company standards. • Adhere to all Company policies and procedures. • Perform other related duties as assigned.

Qualification Requirements: • Experience in administrative or secretarial working experience in five (5) stars hotel environment or well-known property. • Bachelor’s degree in Hospitality, Business Administration or Communications or equivalent working experience, 1 to 2 years. • Proficiency in Microsoft Office: Outlook, Word, Excel and PowerPoint and other job related software. • Experience in Project Development, F&B or Hotel Operations. • Good command of spoken and written English & Chinese preferred. • Excellent time management skills and ability to multi-task and prioritize job duties. • Attention to detail with problem solving skills. • Excellent calendar management experience. • Ability to translate documents from Chinese to English or vice versa preferred. • Good planning, organization and project coordination skills. • Patient and able to work independently with little supervision. • Good attention to detail. • Mature, responsible, friendly and polite with excellent communication and interpersonal skills. • Team player who responds quickly to demands and thrives in a high pressure work environment. • Able to be flexible according to business demand. • Must be able to multi-task.

Comments: Workers Compensation provided. Housing, food and transportation may or may not be provided, contingent on a case-by-case basis.
