Job Title: Executive Assistant
Job Duties: • Assist Principal regarding company's correspondence • Assists with the Principal regarding project fee proposal and scope of works • Assist engineering staff with reviews and analysis of contractor payment request. • Work with the engineering section in preparing company responses to Request for Proposals (RFPs), Statements of Qualification (SOQ), and other business proposals. • Assist principal and project managers with the preparation of project schedule, balance staff resources to project manpower demands, and monitor actual hours budgeted to projects and analyze project cost performance. • Helps with the preparation of project's permitting, Zoning, DPW, BECQ, CRM and other permitting. • Assists in site/project visit scheduling and requirements • Coordinate and help in the preparation of clients/project meeting Accounting • Collect, confirm and process timesheets and overtime • Verify taxes and other deductions • Track employee's vacation and sick leave. • Assist accountant prepare and distribute payroll on a bi-weekly basis. • Maintains and updates employee payroll records . • Collect/follow-up invoices from the vendor, and prepares the check payables. • Analyze discrepancies and unpaid invoices • Maintain vendor files • Prepares the receivables schedule, prepare the project’s invoice, follow-up receivables from the client and prepares the deposit slip. • Maintain and monitor sub-consultant & contractors file • Monitor client/project accounts for non-payment and delayed payment • Maintain (check, code, post) and monitor the company’s credit card charges, analyze charges discrepancies. • Monitor company’s purchases. • Assists in preparation of the Annual Audits and Corporate Tax Return. • Assists in preparation of the Financial Statements and Balance Sheets. • Prepares Gross Revenue Tax, Employee Withholding Tax, and FICA. • Update, verify and maintain accounting journals and ledgers and other financial records • Find and use accounting data to resolve accounting problems and discrepancies • Track and audit petty cash • Prepare, track and maintain company's loan and employee's IOU records, making sure an update payment and collection. Administrative • Works with management in preparing consistent and fair personnel policies that comply with all federal and local regulations. • Works with the management in personnel hiring and preparation of USA & CNMI labor documents. • Works with the management in providing supervision and guidance to all personnel. • Works with immigration lawyer and immigration agencies regarding employee’s immigration status requirements in: CW & H1B, foreign passport • Preparing company staff/personnel's travel itineraries. • Maintaining and monitoring of personnel documents. • Maintain and monitor the equipment inventories. • Perform filing and general administrative tasks and liaise with other departments/customers/vendor/client • Negotiates and maintains all corporate insurance policies such as: Professional Liability Insurance, Comprehensive Business Liability Insurance, Vehicle Insurance, Workmen Compensation, Umbrella Liability Insurance, Group Life Insurance, Medical and Dental Insurance. • Answering incoming phone calls OTHER • Secure, updates and monitors the company licenses and permit such as: professional license, business license, vehicle registrations, COA, and annual corporation report. • Works with IT in maintaining and updating of company's software licenses and computer programs. • Performs other duties and responsibilities in ensuring the staff efficiency at a reduce cost. • Works with the company’s legal counsel in ensuring that the both the company and employee adheres to federal and local laws and regulations. • Make sure the cleanliness of the company premises. • Assists with management in making a good clients relation • Coordinate with software vendors regarding software's problems and trouble shooting. Computer Skills: • Expertise with MS Office tools: Microsoft Word, Excel, Powerpoint, Adobe Acrobat, Bluebeam Extreme; Accounting software such as QuickBooks; • Excellent communication skills including report writing • Able to troubleshoot computers and other devices

Qualification Requirements: Education, Experience and Skills Requirements: • Three years or more responsible experience work-related in management and accounting • Knowledge of regulatory requirements of processing payroll accounting transactions, and tax returns, both CNMI and federal • Ability to communicate clearly and concisely, verbally and in writing, in English • Must have excellent interpersonal skills and customer service skills • Ability to perform several tasks concurrently with ease and professionalism • MUST be able to keep company and client matters strictly confidential • Associate Degree in Business or Accounting an advantage • High School Diploma
