Job Title: Customer Service Supervisor, Rooms
Job Duties: Greet guests and act on inquiries from staff, clients, guests, and to a lesser extent, the general public. Monitor email requests from China office regarding room booking, allotment, room cut-off, and any changes or cancellations daily and verify the information with the hotels. Perform other duties as required or assigned. • Review and compare room fees between China office & Saipan hotels; • Meet with hotel representative regarding room allotments and to block rooms; • Answer guests and China office’s inquiries concerning fares, fees, breakfast coupons, and hotel accommodations; • Meet with hotel representatives in regards to details on arrangements made, room allotments, and to inspect rooms; • Contact hotels, vendors, or affiliates to arrange hotel accommodation, meal coupons, or flight details according to requests made by China Office or guests; • Negotiate with hotel representatives regarding need for additional rooms when necessary; • Make room arrangements for guests whose flight is delayed or cancelled; • Confirm travel and lodging space, availability, and rate information; • Finalize guests name list and submit to Saipan hotels; • Obtain or prepare travel and hotel accommodations and meal coupons for guests; • Prepare information regarding bus arrangements for Tour Sales Representatives and guests; • Sell direct flight air tickets to guests and provide information regarding flight details; • Follow up on payments from hotels and vendors, collect payment from customers; • Resolve customer complaints and answer customer inquiries regarding hotel, food and lodging; • Meet and provide support to vendors, as needed, and address any issues and concerns/complaints; • Update and maintain the iPlex ERP System; • Generate and update reports such as Costing Reports, Room Reports, Room/Ticket Sales Report, and Payment Summary; • Prepare work schedules according to budgets and workloads; • Determine work procedures for subordinates and issue written and oral instructions; • Train and instruct employees in job duties or company policies or arrange for training to be provided; • Examine work for accuracy, neatness, and conformance to policies and procedures; • Make recommendations to management concerning staffing decisions or procedural changes; • Participate in the work of subordinates to facilitate productivity or to overcome difficult aspects of work; • Interpret and communicate work procedures and company policies to staff; • Study and standardize procedures to improve efficiency of subordinates; • Implement corporate or departmental policies, procedures, and service standards in conjunction with management; • Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes; • Discuss job performance problems with employees to identify causes, issues and solutions. Qualification Requirements: High School Diploma or GED. Must have at least 1-2 years work experience and at least two (2) years of supervisory experience in a tour/travel agency, sales or service related work. Preferably able to speak, read, write, and understand English and in Chinese (Mandarin). Must be willing to work shifts, evenings, holidays, and weekends. Must have the knowledge and computer skills to handle and process payments using credit card and Alipay machines.
