Job Duties: | • Ensure confidentiality of all restricted or sensitive information of the department • Welcome visitors, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor • Liaise and arrange all guests inquiries and requests • Use proper telephone etiquette according to company standards. • Manage and operate the reception • Ensure guests receive a personalized and consistent service • Conduct orientation and tours to explain the services and equipment • Courteous, and respectful to all guests and team mates alike • Work cohesively with other departments and co-workers as part of a team • Coordinate all activities and organization within the department • Maintain personnel records of all departmental staff accurately and provide timely and accurate feedback to superior on leave balance and payroll issues • Report accidents, injuries, unsafe work conditions and/or security issues to supervisors • Arrange regular and ad-hoc meetings, briefings, conferences and other travel arrangements • Photocopy, collate, distribute, and file documents • Establish and maintain an effective filing and retrieval system • Delivering any ad hoc duties as assigned by the department • Remain well-mannered and well-groomed as per department and company standards at all times |

Qualification Requirements: | • Administrative/secretarial experience preferable. • Proficient in Microsoft Office. • Good communication and interpersonal skills. • Ability to read, analyze, and interpret documents, such as policy procedure manuals, and other related documents. • Ability to respond to common inquiries from other employees or guests. • Ability to speak and write in Asian languages (either Chinese, Korean and/or Japanese) preferable. • Must be able to sit or stand for long periods of time while performing duties. • Ability to multi-task. |
