Job Duties: | Under the direct supervision of the Logistics Manager, the Customer Service Representative is responsible for booking and coordinating outbound/inbound shipment (ocean/air) and Compiling shipping documents to expedite removal of cargo from dock/airport and prepares billing for shipping charges and provides office administrative and clerical assistance by performing the following duties. 2. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following. Other duties may be assigned: 2.1 Examines ship’s manifest and bills of lading to determine work procedures for releasing cargo. 2.2 Notifies consignee or agent by telephone or letter of arrival dates of shipment, customs clearance requirements, cargo availability and demurrage charges. 2.3 Stamps bill of Lading so that cargo can be removed from port yard and Container Freight Station. 2.4 Computes with information provided from bills of ladings to generate various reports. 2.5 Prepares billing reports and submits to accounting department for collection. 2.6 Obtains cargo data from shipper such as cargo type, weight, measurement, destination and shipping data in order to determine allocation of cargo and fully utilize capacity of each hip. 2.7 Consults booking sheet to ascertain availability of cargo space. 2.8 Informs shipper of ship’s name in which cargo is laden, sailing and delivery date of cargo. 2.9 Prepares various container reports are sent to respective Principals. 2.10 Composes, types letters or correspondences from drafts and oral directives. 2.11 Prepare quotes for customers. 2.12 Provides customer(s) shipping details. 2.13 Operates a multi-line telephone; Takes messages, gives information to callers; Screens and routes calls to appropriate destination. 2.14 Greets the public, staff and others in a professional, courteous manner; Ascertains nature of business and directs visitors or callers to appropriate department or person. 2.15 Maintains various logs, spreadsheets and manuals. 2.16 Routes all incoming and outgoing faxes messages to respective persons or divisions. 2.17 Procures supplies, office cleaning supplies and materials, parts as needed. In accordance with purchasing procedures. 2.18 Operates office equipment including PC, adding machine, copy machine, postage machine, printer and other machines. 2.19 Maintenance office files and records in accordance with internal procedures. Responsible for the maintenance of the central filing system. 2.20 Perform a full range of customer service duties related to area of assignment; provide information to customers requiring the use of judgment and the interpretation of policies, rules, and procedures. 2.21 Monitor Process Key Performance Indicators of Logistics and Trucking divisions. 2.22 Assist with External Provider evaluation. Maintain and update the Approved External Provider List File. |
